The Biotech Hangout app and your privacy

Last updated 20 October 2026. This notice covers Biotech Hangout, the Cell & Gene Leaders Live guest app for iPhone and Android. It explains, in plain terms, what the app does with information about you.

Who we are

The app is published by Onyx Newsroom Ltd ("Onyx"), a company registered in England and Wales, company number 15348780, whose registered office is 63c Penkvale Road, Stafford, ST17 9HX, United Kingdom. Onyx is the data controller. For anything in this notice, write to [email protected].

What the app uses

  • Your ticket code. When you scan or paste your ticket, the app sends its code to our server to check it and fetch your ticket. That is the only information about you the app sends to us.
  • Your ticket details. Our server sends back your name, job title, company, ticket type and, if you have one, your host. The app keeps these on your phone so your ticket and the programme work without signal.
  • Sessions you save. Kept on your phone only, so your phone can remind you before they start. We never see them.
  • Camera.Used only while you scan your ticket's QR code. No image is stored or sent.

What the app does not do

No advertising, no tracking across other apps or websites, no analytics, no location, and no selling or sharing of your information for anyone else's marketing.

Why we can use it

To give you the ticket and event information you asked for. Our lawful basis is the contract to attend the event (Article 6(1)(b) of the UK GDPR), or, for guests invited by Onyx, our legitimate interest in running the event well (Article 6(1)(f)).

Where it is kept, and for how long

Guest records are held by our hosting provider under contract, and the app only ever talks to our server over an encrypted connection. Some of our providers are based outside the United Kingdom, mainly in the United States. Where personal data is transferred outside the UK, we rely on UK adequacy regulations or on the UK International Data Transfer Addendum to the European Commission's standard contractual clauses.

We keep guest records until 31 March 2027 to deal with follow-up from the event, then delete them. Everything the app keeps on your phone is removed when you sign out in the Info tab or delete the app.

Information you gave when booking

Your booking, payment, dietary and accessibility details were collected through our website and are covered by the privacy information you saw there. The app does not show or use them.

Your rights

You can ask us for a copy of your information, to correct it, or to delete it, by writing to [email protected]. We reply within one month. If you are unhappy with how we have handled it, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk.

Children

The app and the event are for professionals aged 18 and over.

Changes to this notice

If we change what the app does with information, we will update this page and the date at the top before the new version of the app is released.
